Bing Nursery School is part of the School of Humanities and Sciences at Stanford University and serves as a laboratory for the Department of Psychology. The department established the school in 1949, and the current building in 1966, to serve as a site for research and training in child development. It provides high quality educational programs to over 550 young children (2-5 years) each year, their parents, students in training, research and teaching faculty, and educators worldwide.
The Enrollment Administrator at Bing Nursery School must have the ability to accurately perform multiple tasks in a fast-paced environment, exercising a high degree of judgment and discretion. Will evaluate all applications to the nursery school, and provide recommendations to the director, making sure to follow the priorities for the school in terms of meeting research needs and licensing regulations. Is responsible for all communication and follow-up with prospective and enrolled families regarding enrollment policies, documents, licensing requirements, etc.
Evaluate all applications for enrollment to Bing Nursery School. Includes evaluating applications of special needs children, outreach families, Stanford families, and prospective families, and manage the process for meeting research needs for balance in gender, age, language, and minority children.
Process and enroll over 600 children.
Collaborate and confer with Director and Associate Director regarding placement of children in the school and oversee all follow-up with prospective parents.
Respond to prospective and current parents in response to inquiries about placement, and placement changes. Represent the school professionally using tact, diplomacy and confidentiality when communicating to Bing parents, including Stanford faculty and staff, students, alumni, and general families.
Conduct pre-scheduled monthly tours for prospective parents; accurately articulate the mission of the school and the priorities and processes for enrollment.
Communicate with head teachers on classroom placements and provide all appropriate documents for each class.
Responsible for enrollment database management and maintenance of applicant records according to school admission policies, as well as process of invitations to all prospective parent tours. Collaborate with Associate Director of Finance and Operations and Accounting Coordinator on tuition matters.
Manage and is responsible for developing and ensuring the accuracy of reports pertaining to enrollment, including historical data.
Keep abreast of licensing changes and updated documents. Maintain and monitor immunization information for licensing purposes in accordance with the State of California, Department of social Services licensing requirements. Design and verify the accuracy of immunizations reports for all children.
Edit and update all enrollment documents each year. Collaborate with Associate Director of Finance and Operations on tuition documents and contracts.
Update the school advisory committee on current admission status and policies.
As a member of the Bing Nursery School administrative team, collaborate with the Director, Associate Director, Research Coordinator and Associate Director of Finance and Operations on all aspects of the program.
May delegate enrollment tasks to teaching assistants, students, and office admin. Will work closely with operations coordinator on enrollment applications and scheduling of tours.
Oversee and administer research activities by evaluating academic programs, making recommendations that impact policies and programs, and coordinating and implementing changes.
Collect and analyze data, create reports, review and explain trends to determine program effectiveness; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program.
Represent the program or function as the key contact and subject matter expert within the department, unit or school and develop communications for internal and external constituencies. Organize and/or participate in outreach activities such as events, partnerships, fundraising, training, and conferences. Lead workshops and facilitate meetings.
May oversee and train student workers.
Education & Experience:
Bachelor's degree and two years of relevant experience or combination of education, training, and relevant experience. Advanced degree may be required for some programs. Program administration and or research experience may be required.
Highly preferred requirements include a degree in Early Childhood Education, Child Development, or related field and at least five years related experience.
Knowledge, Skills and Abilities:
Demonstrated oral, written, and analytical skills, exhibiting fluency in area of specialization.
Ability to oversee and provide basic direction to staff.
Desired skills include:
Knowledge of state licensing regulations and accreditation requirements preferred.
Ability to interact and communicate effectively and diplomatically with faculty, staff, students, alumni, and outside constituents and represent the school professionally and accurately.
Demonstrated ability to carry large, complex and/or sensitive projects to completion independently.
Experience with student records.
Proficiency using Excel, Word and Filemaker Pro.
