The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department with 285 full-time faculty members, 280 clinical faculty members, and over 200 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $35 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. The Department of Psychiatry and Behavioral Sciences is recruiting for a Program Coordinator.
This position involves ownership and coordination of a variety of components of Education team projects and integrated care training activities for the UW Integrated Care Training Program, and The AIMS Center, in the Department of Psychiatry & Behavioral Sciences. The overarching focus of the team’s work is on increasing access to mental health care in Washington State through psychiatric education and training. This position will work closely to manage and support activities across the team that has a direct impact on the mission.
Education Program Support •Contribute as a key member of the Educational Program team; independently own, direct and provide support for duties of other Program staff; provide back-up support for vital team functions when needed; •Manage the Program’s use of webinar, web conferencing, lecture capture and other web-based software and provide end-user training and support for team members and remote participants; •Develop and support educational content for online delivery using both synchronous and asynchronous distance learning platforms; •Provide educational activity evaluation support, including designing surveys, managing data collection, performing statistical data analysis, and preparing reports; •Obtain activity reports, evaluations, surveys, and other program data from trainees, faculty, and alumni needed for monitoring program outcomes and accreditation •Coordinate program event arrangements •Support arranging for several annual events, activities, scheduling rooms, and assisting with arranging speakers as needed; •Modify and maintain several databases in REDCap and Excel or other formats as needed; provide directors with program data reports and analysis; •Provide technical support for educational programs and faculty; including scheduling rooms, hosting Zoom meetings, sending invitations and reminder letters and emails to speakers, creating evaluation reports, disseminating meeting materials, and ordering food; gathering evaluation data from residents to create reports for speakers and program, sending CE certificates; •Revise, disseminate and compile data from a number of evaluations and surveys of interns, faculty, and the program on a monthly, quarterly, semi-annual and annual basis; •Contribute to Continuing Education (CE) applications; contribute to CE reporting and data analysis; provide support to users for obtaining CE credits;
Evaluation and Tracking Support •Maintain multiple Redcap databases to track trainees and impact; •Provide Program leadership with program data reports ;
Financial Responsibilities •Process reimbursements for faculty and residents; •Process travel reimbursements for faculty; •Track budgets and create reports and projections for directors;
Recruitment/Orientation •Recruitment - Update web site to reflect current dates and event information - Provide application information to prospective applicants - Coordinate the application review process - Send out welcome letters and information packets to fellows and trainees •Orientation and Onboarding - Coordinate new hire paperwork, HIPAA training, immunization requirements, and other documentation as needed as part of hiring and onboarding residents; - Work with Program Director and Operations Manager to track coordinators to finalize all schedules, & update program information for the coming year for the new fellows - Coordinate getting all necessary new employee/resident information for new fellows in UW system & MedHub, including visas, EID, netid, payroll, background checks, medical screening and immunization information, HIPAA training confirmation and any other necessary documentation - Arrange email and computer access for fellows - Reserve needed venues, and make appointments (e.g., fit test, photos) - Schedule speakers and trainers - Ensure all trainings have been completed/attended - Conduct background checks and visa applications as needed. - Provide onboarding information. - Prepare badge requests, ORCA & EpicCare registration - Help plan and arrange welcoming event; manage invitations, catering
MINIMUM REQUIREMENTS: •High school graduation or equivalent and two years of experience in a healthcare or related field OR equivalent education/experience.
ADDITIONAL REQUIREMENTS: •Demonstrated attention to detail, creative problem-solving skills and strong attention to detail. •Excellent interpersonal skills. •Ability to communicate effectively, orally and in writing, and to interact positively with a wide variety of people. •Ability to prioritize work appropriately and to work effectively both as a team member and independently with minimal supervision. •Ability to work on several different projects and with several different staff members. •High level of proficiency in the use of the following software applications: MS Word, MS Excel, PowerPoint, MS Outlook. •Experience creating and maintaining web pages.
DESIRED: •Bachelor’s degree in Education, Psychology, Social Work, Public Health or similar field AND two years of relevant experience. •Experience working with public or representing an organization to other organizations. • Experience writing web copy, knowledge of learning management platforms (Canvas), lecture capture (Panopto), video/audio editing, Google analytics, Endnote, Photoshop, Adobe Suite, and/or HTML. •Experience with databases, using REDCap, and/or analyzing data. •Experience as host for Zoom meetings
Equivalent education/experience can substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
