Manhattan Country School (MCS), a progressive pre K-8th grade coed school located on Manhattan’s Upper West Side, seeks a Database Manager to begin immediately.

MCS is at an exciting time of growth amid a capital campaign, enrollment expansion and renovations at both the city and farm campuses. We are looking for an analytical and highly organized individual with demonstrated experience collaboratively partnering with others to meet objectives.
The Database Manager is responsible for creating and managing an effective database infrastructure to support advancement and admissions operations including reporting and gift processing, and assisting the registrar and the business office. The Database Manager takes the lead in managing the database processes to ensure data integrity and participates in developing strategies to provide enhanced, accurate and up-to-date reports to support the school’s Advancement and Admissions goals. The position reports to the Director of Advancement.
Serve as lead point of contact on constituent databases; includes database management and assuring that content is consistently up-to-date and correct
Manage and execute functions associated with database operations, advancement services, gift entry and acknowledgements and records, including recording and reporting of charitable gifts and deposits
Assist the Business Office with recording and reconciling cash, electronic and stock transactions
Produce queries, reports, mailing and guest lists and labels for events
Establish and document departmental policies and procedures, including donations processing policies, procedures, systems in compliance with IRS rules and regulations
Work with our website provider, Community Brands, to process and transfer information updates from the database to the website’s parent portal
Create and run reports to support data-driven decision making and strategic initiatives for the Advancement and Admissions offices
Insure integrity of database through regular review, verification, and data cleanup, to assure accuracy and efficiency
Troubleshoot and report malfunctions of database system for the purpose of resolving operational issues and restoring services.
Remain knowledgeable about technology trends in schools and universities, and provide suggested improvements and advancements to school's SIS system.
Work with the school nurse to secure student health information on Magnus
Monitors records for completeness and accuracy
Collaborate with members of various departments in utilizing the database to support the broader mission and goals of the school
The preferred candidate will have:
Expertise in managing, maintaining and trouble-shooting all aspects of a File Maker Pro database (particularly Sandbox and Generations)
Knowledge of fundraising and advancement systems and procedures
Demonstrated competence in records and information management including techniques and principles supporting critical records systems
Strong attention to detail in establishing priorities, meeting timelines and efficiently accomplishing duties
A high level of discretion and confidentiality
Strong interpersonal skills and ability to work collaboratively with diverse constituents or independently as needed
Ability to communicate clearly and concisely, both orally and written
Proficiency with Microsoft Office and Google Suites
Ability to articulate technical information to non-technical audiences. Ability to interact with users in a professional, cooperative, and courteous manner
