The College of Education and Human Services at West Virginia University is seeking applications for the position of Program Assistant I. This position Manages daily administrative and communication operations within the Department of Learning Sciences and Human Development following policies and procedures with minimal supervision and independent decision-making. It will also provide support for the Chairperson, Director of WVU Child Development Laboratory, and Coordinator of the Child Development and Family Studies Undergraduate, Masters and Doctoral Programs.
In order to be successful in this position, the ideal candidate will:
Work directly with the department chair and office administrator with the day-to-day operations of the department including record control, and special assignments and planning.
Coordinate all scheduling changes for the CDFS and HDFS programs by updating the schedule of courses each semester.
Develop and maintain data management system to organize, coordinate and manage departmental data for internal reports and external reports.
Responsible for working with the department chair to collect, manage and analyze departmental data such as course syllabi, faculty CVs, admissions, enrollment, student status.
Assumes the duties for the Department's Office Administrator in their absence.
Work with the Faculty Annual Review committee to process Faculty Annual Reports, including providing assistance to the Chair of LSHD Peer Review Committee by coordinating individual faculty reviews, scheduling meeting rooms and compiling peer review packets for the Dean's Office.
Communicate and provides information regarding payroll procedures to new hires including Graduate Assistants, Adjuncts, and Research Assistants.
Coordinate the admission process for departmental programs with chair and staff.
Assist and advises students regarding admission requirements and ensure all required information and materials have been submitted.
Advise students in organizing, planning and coordinating prospectus and dissertation meetings, coordinates schedules and audio-visual requests.
Answer routine correspondence independently and routes others to appropriate professor.
Oversee, support, monitor and prepares reports on student progress through Academic Common Market including but not limited to research, admission, advising, tracking and graduation for Undergraduate CDFS majors in the certification track. This includes all communication with parents, students, advisors, and coordinators of the Financial Program utilizing personal, telephone and email communication.
Review grades submitted at the end of each semester and verify that an Incomplete Contract has been completed relative to every incomplete grade.
Perform general reception duties, central source of information for students, parents, faculty outside the department and the general public on programs, policies and procedures referring inquiries where appropriate.
Work with the department chair, faculty and staff to resolve student issues.
Work processes various documents, electronic information, letters, memos and reports. Adheres to procedures relating to the operation and care of different types of office equipment (printers, fax machines, copiers, and scanners).
Manage and is responsible for PCard purchases within the department and make purchases in Marketplace for faculty and staff.
Work Hours: 37.5 hours per week, 8:15am – 4:45pm
Length of Assignment: 12 month position
Associate's degree in a related field, or an equivalent combination of education and experience
Six (6) months of experience providing general administrative support, including customer service
Knowledge of English sufficient to compose correspondence and other messages/texts related to the duties
Ability to type with speed and accuracy
Communicate effectively in a positive manner both in writing and orally
Ability to apply confidentiality regarding sensitive information
Knowledge of grammar, spelling, punctuation and mathematical skills
Demonstrated ability and skills using computers and general software packages such as Microsoft Word, Excel, File Maker, and Access including word processing, spreadsheets, and graphics software
Knowledge of HOBSONS/GEMS and STAR/BANNER is preferred
