Responsible for revenue activities including subsidized child eligibility verification, parent tuition assessment, billing, payment, day care receipts handling and food program. Maintain computer files of clients, billing & payment. Prepare monthly billing and follow-up with various governmental agencies for subsidized and contractual services under general supervision of the Admissions & Client Services Director.
Duties & Responsibilities
Perform financial related child care accounting services, including but not limited to:
Verify subsidized childcare eligibility and recertification. Communicate with parents, other departments, various state representatives, and third parties as necessary to obtain and validate data. Access confidential state databases regarding household income and household size.
Maintain state database current in accordance with regulatory guidelines.
Serve as the Child Care Assistance program expert for all policy, system and implementation related matters.
Develop relationships with clients conducive to an assessment of program eligibility
Assess initial parent tuition fees and perform weekly tuition billings.
Maintain current and accurate parent’s accounts receivable records, including collecting and recording tuition payments.
Maintain accurate financial aspect of child tracking system and supporting records current in accordance with regulatory requirements.
Prepare monthly-subsidized billings to governmental agencies.
Maintains computerized archive system for child care accounting records.
Conduct annual reassessments of private tuition fees.
Maintain adequate security over daily receipts and performs daily register close out in accordance with financial reporting requirements.
Interface with Admissions and Administrative staff within the Child Development Admissions and Client Services team
Serve as the point person to maintain central database (ProCare) and run reports as necessary
Perform all food program eligibility matters.
Supervise the Administrative Services Assistant
Oversee the attendance data entry, patterns and keep track of impact on monthly revenue
Provide assistance to Admissions & Client Services Director and other managers, as deemed necessary.
Flexibility to provide coverage at both Centers, when needed.
Assist with additional projects, as assigned.
Bachelor’s degree in accounting or comparable work experience.
Minimum of 1 year accounting experience.
Experience with Illinois Department of Human Services child care subsidy eligibility verification is a plus.
